Overview

Show Studio LLC ("Show Studio", "we", "us") runs a platform for designing, sharing, teaching, and watching marching band drill. This policy explains what information we collect, why we collect it, who we share it with, and the choices and rights you have.

This policy applies to the Show Studio website, our mobile and desktop apps, and the services we provide through them.

We wrote this in plain language on purpose. If anything here is unclear, email us at support@show.studio and we will explain it.

Information we collect

Information you give us

  • Account information. Your name, email address, username, profile photo, and any profile details you choose to add such as a bio, school, or organization.
  • Content you create. Drills and shows, rosters of marchers, pictures and formations, artwork, uniforms, show notes, and anything else you build or upload to the service.
  • Messages and communications. Messages you send through the in-app messaging system, comments, support requests, and feedback you send us.
  • Classroom information. If you are a teacher, the classes you create, the roster entries you enter, and the assignments you publish. If you are a student, your class membership and your assignment submissions.
  • Payment information. When you buy a subscription or make a marketplace purchase, you provide payment details to our payment processor. See "Payments" below.

Information we collect automatically

  • Usage information. Pages and screens you view, features you use, actions you take in the editor, and the dates and times of that activity.
  • Device and connection information. Browser type, operating system, device type, screen size, language, and IP address. We derive an approximate location (usually city or region level) from your IP address.
  • Cookies and local storage. See "Cookies and local storage" below.
  • Diagnostics. Error reports and performance data that help us find and fix problems.

Information from third parties

  • Sign-in providers. If you sign in with a third-party account such as Google, we receive basic profile information from that provider: typically your name, email address, and avatar image. We do not receive your password.
  • Payment processor. Our payment processor tells us whether a payment succeeded, the plan or item purchased, and limited details such as the card brand and last four digits. It does not give us your full card number.

How we use your information

We use the information described above to:

  • Create and maintain your account, and to sign you in.
  • Operate the service: save your drills, render your shows, deliver your messages, run your classes, and sync your work across devices.
  • Process payments, subscriptions, marketplace transactions, and payouts.
  • Provide the in-app AI assistant when you use it.
  • Provide support and respond to your questions.
  • Personalize your experience, such as showing you relevant content and remembering your preferences.
  • Send you service messages about your account, purchases, security, and important changes.
  • Send you product news and marketing, where you have opted in or where permitted by law. You can opt out at any time.
  • Keep the service safe: detect and prevent fraud, abuse, spam, and violations of our Terms of Service and Acceptable Use policy.
  • Understand how the product is used so we can improve it.
  • Meet our legal obligations, enforce our agreements, and establish or defend legal claims.

We do not sell your personal information. We do not share your personal information with third parties for their own independent advertising purposes.

Cookies and local storage

We use cookies, local storage, and similar browser technologies to:

  • Keep you signed in and keep your session secure.
  • Remember your preferences, such as theme, language, and editor settings.
  • Store drafts and in-progress work locally so you do not lose it.
  • Measure how the product is used so we can improve it.

You can control cookies through your browser settings. If you block or clear cookies, parts of the service will not work, including staying signed in.

We do not use third-party advertising cookies.

Third parties and subprocessors

We use a small number of service providers to run Show Studio. They process data on our behalf, under contract, and only for the purposes we set. Here is who they are and what they do:

  • Stripe. Payment processing for subscriptions, marketplace purchases, and seller payouts. Stripe collects and processes your payment details directly. Full card numbers are never stored on Show Studio servers. Stripe's handling of your data is governed by its own privacy policy.
  • Microsoft Azure. Hosting, application infrastructure, our PostgreSQL database, and blob storage for user content such as artwork, uniforms, images, and audio. Your account data and your created content are stored on Azure.
  • OAuth sign-in providers (for example Google). Authentication, if you choose to sign in with one of them. We receive basic profile information as described above.
  • Azure OpenAI. Powers the in-app AI assistant, Intelligence. See "The AI assistant" below.
  • Azure Translator. Powers translation and localization of content in the app.

We may also disclose information:

  • To comply with law, a subpoena, a court order, or another valid legal request.
  • To protect the rights, property, or safety of Show Studio, our users, or the public.
  • In connection with a merger, acquisition, financing, or sale of assets, in which case we will require the recipient to honor this policy or give you notice and a choice where required by law.

The AI assistant

Show Studio includes an AI assistant. When you use it:

  • The content of your prompts, and the app context you choose to share with the assistant (for example the drill you are working on), is sent to Azure OpenAI to generate a response.
  • We store your conversation history so you can return to it, and so we can measure usage, apply plan limits, and debug problems.
  • Assistant output can be wrong. Do not rely on it for legal, financial, medical, or safety decisions. You are responsible for reviewing anything you act on.
  • Do not put information into the assistant that you would not want processed by a third-party service. That includes other people's personal information and confidential material.

You can delete your assistant conversations from within the app, or ask us to delete them.

Children and schools

Show Studio is for people aged 13 and over. You must be at least 13 years old to create an account. We do not knowingly create accounts for anyone under 13. If we learn that an account belongs to someone under 13, we will close it and delete the associated data.

Show Studio includes a Classroom feature that teachers use to bring their students into the platform.

Schools and teachers are responsible for obtaining any consent required for their students to use Show Studio, including consent from parents or guardians and any authorization required by their school, district, or applicable law. By adding students to a class or inviting them to join, a teacher confirms they have the authority to do so and have obtained any required consent.

If you are a parent or guardian and you believe your child has an account you did not authorize, email support@show.studio and we will help.

Data retention

We keep your information for as long as your account is active, and afterwards for as long as we need it to:

  • Provide the service and support you.
  • Comply with our legal, tax, and accounting obligations. Transaction records are typically kept for several years for this reason.
  • Resolve disputes and enforce our agreements.
  • Maintain security and prevent abuse.

When you delete your account, we delete or de-identify your personal information within a reasonable period, except where we are required to retain it. Backups are purged on a rolling schedule.

Content you shared publicly, or that others have purchased or saved, may persist in their copies after your account is closed.

Classroom roster information has its own handling: a teacher or the student can erase a roster entry's personal details at any time, which removes the name from the roster and breaks the link between the account and that entry.

Your rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or incomplete.
  • Delete your personal information.
  • Export a copy of your information in a portable format.
  • Object to or restrict certain processing.
  • Withdraw consent where we rely on consent, without affecting processing that already happened.
  • Complain to your local data protection authority.

Many of these you can do yourself: edit your profile, delete your content, and download your work from within the app.

To exercise any of these rights, email support@show.studio. We will verify your identity before acting on a request, and we will respond within the time required by applicable law. We will not discriminate against you for exercising your rights.

Security

We take reasonable and appropriate measures to protect your information, including:

  • Encryption in transit (HTTPS) for all traffic between your device and our servers.
  • Encryption at rest for our database and stored files.
  • Access controls that limit who on our side can reach production data, and to what.
  • Passwordless and third-party sign-in options so that we hold fewer credentials.
  • Payment handling delegated to Stripe, so card numbers never touch our systems.

No service can promise perfect security. You also play a part: use a strong, unique password or a trusted sign-in provider, keep your account credentials private, and tell us right away at support@show.studio if you think your account has been compromised.

International transfers

Show Studio is operated from the United States, and our infrastructure and service providers may process and store your information in the United States and in other countries where they operate.

If you are located outside the United States, your information will be transferred to and processed in countries whose data protection laws may differ from those in your country. Where required, we rely on appropriate safeguards for these transfers, such as the European Commission's standard contractual clauses, and we require our providers to do the same.

Changes to this policy

We may update this policy as the product and the law change. When we do, we will update the "Last updated" date at the top.

If a change is significant, we will give you notice in the app or by email before it takes effect. Continuing to use Show Studio after a change takes effect means you accept the updated policy.
